QUALITY & REPORTING
The record matters
as much as the result.
A useful analytical report connects the submitted material to the method, the data and the limits of interpretation. This is the documentation framework used to define a project.
TRACEABILITY
Keep the sample and the record connected.
One clear chain of information.
- Customer-supplied material and lot details remain distinguishable from laboratory observations.
- A laboratory sample identifier links receipt, preparation, analytical records and report.
- Sample condition, deviations and handling decisions are recorded when relevant.
- Reference and control materials are identified within the agreed analytical record.
METHOD & REVIEW
Make the basis of the result clear.
Document what was actually done.
The report should identify the method and revision, the measured property and units, relevant calculations and the basis of interpretation. Records should allow the result to be traced to the underlying work.
The scope must also define the review and release process. Any limitation, departure from the agreed method or unresolved issue that affects interpretation belongs with the result.
REPORT CONTENTS
A report should answer practical questions.
Which material was examined?
The laboratory sample identifier and customer-supplied name and lot information should identify the submitted material. A report applies to the sample examined; it is not automatically a statement about an entire supplier, brand or batch.
What property was measured?
The report should distinguish a chromatographic profile or relative peak-area result from analyte content, identity, total mass purity or a biological claim.
Which method supports the result?
The method identifier, revision and relevant analytical conditions should be stated or linked to the agreed method record. Reference materials, calculations and controls should be identified as relevant to the scope.
What affects interpretation?
The report should state relevant detection, preparation, sampling and method limitations. Missing evidence must not be presented as a confirmed negative result.
How are corrections handled?
A corrected report should identify the document it replaces, explain the change and retain traceability. The project agreement must define release, confidentiality and authorized recipients.
